Job Description

Supports the contracting and sourcing requirements for medical device service agreements. Assists with invoice management, reconciliation, and budget forecasting while performing analytical and contract administration tasks. This role places a strong emphasis on contract renewals, new contract implementations, and data analysis to support contracting and value analysis efforts. Work is performed under limited supervision.

Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

• Performs routine contract administration tasks in support of contract management, including assisting with and/or performing competitive bidding, negotiation, award and implementation of contracts, maintaining existing contracts, contract renewals and vendor relationship management.

• Prepares annual budget for service contracts based on current and future contract commitments.

• Utilizes available analytical tools to prepare analysis.

• Meets with customers to review contract performance and provides feedback on options.

• Analyzes contracts and contract metadata to identify those due for renewal, assign risk level and create task lists.

• Extracts data from Enterprise Resource Planning (ERP) and Computerized Maintenance Management System (CMMS) for analysis.

• Monitors service contract database to ensure data integrity. Submits management reports.

• Monitors expenditures to verify service/quantity requirements are met and ensures rebates, credits, patronage fees are received.

• Interacts with suppliers to obtain necessary information in a timely and professional manner.

• Provides insight and suggestions for process and communication improvement between internal and external stakeholders.

• Prepares contract cover memos, scans and uploads contracts to repository.

• Develops and maintains financial dashboards based on established performance metrics.

• Utilizes continuing education opportunities to improve purchasing techniques.

• Perform other duties as assigned.

Qualifications

Education and Experience

• Bachelor’s degree in Biomedical Engineering, Business Administration, or related field, or the equivalent combination of education, training, and experience required.

• Two (2) years of experience in contract management, information systems, purchasing, or related field required. Clinical Engineering Analyst

• Experience with CMMS platforms, Lawson Procurement Suite, or similar.

Knowledge, Skills and Abilities

• Working knowledge of current market conditions and trends affecting healthcare purchasing.

• Working knowledge of on-line purchasing systems to input requisitions and purchase orders.

• Effective skill managing multiple priorities and meeting changing requirements and priorities to accomplish objectives.

• Ability to analyze, compare, contrast, and validate work with keen attention to detail.

• Ability to work independently with minimal supervision.

• Effective analytical, planning, organizational, and problem-solving skills.

• Advanced skill in the use of Microsoft Office Suite (e.g., Access, Word, Excel, PowerPoint, etc.).

• Advanced verbal, written, and interpersonal communication skills.
