Job Description

POSITION SUMMARY

Responsible for managing the business operations for Heart and Vascular Institute (HVI) Services for the CAP Region, which includes patient access, financial management, and supply management. Support HVI systems of care in the procedural areas, surgical programs, and clinical programs of development. Work closely with HVI and Cap Region senior leadership to evaluate, develop, implement, and sustain leading practices for comprehensive care to facilitate service line expansion and growth opportunities. Work is performed under limited supervision. Direct report to the Senior Director, Heart and Vascular Service Institute.

PRIMARY RESPONSIBILITIES:

  • Manage and audit billing processes and charges for procedures.
  • Prepare analysis of supply variance reports to ensure accurate supply budgeting.
  • Supervise and coordinate annual inventory in conjunction with Nursing and the Finance Department.
  • Develop proformas to support capital equipment requests.
  • Prepare annual capital requests for HVI services in conjunction with the Senior Director and clinical leaders.
  • Maintain accurate physician credentials in conjunction with Medical Affairs Office.
  • Respond promptly to and address customer questions/concerns/complaints.
  • Responsible for coordination and implementation of Epic upgrades and ongoing maintenance and implementation of new services and technological advancements.
  • Participate in the validation and build process for information systems including charge capture and validation functions (e.g., EPIC, Radiant, Optime, Clarity and Workbench reporting).
  • Responsible for marketing and development of new and existing service lines within HVI services.
  • Analyze market share trends and demand, primary service area needs, physician preferences and clinical practice. Apply trending data to develop short- and long-term action plans to enhance and maintain department profitability.
  • Lead analytics functions of the department to promote data-driven decisions.
  • Collect data and provide reports and analysis to administration, (e.g., utilization rates, volume reports, etc.).
  • Present periodic and ad-hoc reports to the HVI Executive Council, department leaders and hospital executives.
  • Develop process improvement procedures to address inefficiencies in operations.
  • Conduct benchmarking and trend analysis to drive continuous process improvement and elevate service performance.
  • Identify and resolve operational and performance gaps and obstacles; recommend/implement changes and improvements.
  • Ensure compliance with applicable federal and state laws, rules, regulations and UMMS policies and procedures.
  • Establish operational priorities and activities in collaboration with other UMMS/UMCAP entities to facilitate and support program success.
  • Partner with allied services (e.g., IT, Clinical Engineering, Facilities, etc.) to maintain and optimize operational performance.
  • Serve as liaison with product vendors for trials, product issues, implementation, and operational outcomes.
  • Serve as a resource for information systems used in perioperative services.
  • Establish key performance indicators and reporting to evaluate team performance to ensure goals and objectives are being met.
  • Foster a culture of collaboration, problem solving, innovation, continuous learning, and a one team mindset.
  • Mentor staff in both technical and soft skills to craft a team of highly competent, consistent, thoughtful, and customer-centric experts.
  • Evaluate personnel effectiveness and develop/implement training programs to improve performance.
  • Perform managerial functions including hiring, training and development, and preparing and reviewing performance reviews in accordance with UMMS policies and procedures.

Qualifications

POSITION REQUIREMENTS:

Education & Experience - Required

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field.
  • 4 years’ experience in financial management in a clinical services environment, preferably in a hospital setting.
  • 2 years of supervisory/managerial experience.

Education & Experience – Preferred

  • Master’s degree in Healthcare Administration, Business Administration, or related field.
  • 5 + years’ experience in financial management in a clinical services environment, preferably in a hospital setting.

Knowledge, Skills, & Abilities

  • Working knowledge of health care management, administrative and operational principles and best practices, including budgeting.
  • Working knowledge of medical terminology.
  • Strong business and financial acumen.
  • Proficient in preparing and analyzing financial data.
  • Working knowledge of applicable federal and state laws, rules, and regulations.
