Perioperative Business Associate Supply Chain 
Full-Time – Day Shift
Baltimore, MD

The University of Maryland Medical Center (UMMC) is the flagship academic medical center at the heart of the University of Maryland Medical System (UMMS) and includes the 789-bed downtown Baltimore campus and the 177-bed midtown campus one mile north. Home to the Marlene and Stewart Greenebaum Comprehensive Cancer Center and The R Adams Cowley Shock Trauma Center, we’re the highest-volume trauma center in the United States.

Principal Responsibilities and Tasks
 

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification.  They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

1.      Schedules all elective surgical & procedural cases daily for the General O.R., Shock Trauma, Procedural and Minor Surgery suites. Generates surgical and procedural schedule for all perioperative and procedural areas while following specified clinical and time allocation guidelines via automated scheduling systems through telephone contact with physicians’ offices, fax, website retrieval, or personally with the physician and/or resident; uses manual systems in the event of automated system downtime. Scheduling locations include both Downtown and Midtown Campus.

2.      Collaborates daily with the appropriate Nursing personnel and respective staff from the Department of Anesthesia in coordinating surgical schedule to provide optimum use of the operating rooms, procedural areas and facilities.

3.      Proactively communicates with the appropriate clinical and materials staff regarding special requests for personnel, equipment and facilities; scheduling conflicts arising from resource requests are resolved with management staff in Perioperative and Procedural Services to ensure resource availability and optimum use of the O.R.’s and Procedural areas before finalizing schedules.

4.      If applicable to the area, ensures that patient demographic and clinical data on newly scheduled cases or changes to existing scheduled cases is communicated to Patient Registration.

5.      Ensures physician scheduling is done according to UMMC DTC or MTC protocol.

6.      Performs post-operative/procedural entry of clinical, supply and billing information into the surgical or procedural information system and/or directly in the event of system downtime or emergency.

7.      Performs daily data validity audit to ensure quality, accuracy and completion of all required data within the surgical/procedural information system, i.e. WQ and Error Queue reconciliation.

8.      Assists in performing daily patient charge reconciliation audit to ensure accuracy of charge data submitted to patient accounts for surgical patients, i.e. WQ and Error Queue reconciliation.

9.      Assists clinical nursing staff with maintenance of preference card/picklist information within the surgical and procedural information system.

10. Participates in orientation and training of designated personnel to the automated scheduling procedures.

11. Maintains historical scheduling data according to protocol.

12. Exemplifies guest and staff relations standards in all activities.

13. If required by department, performs all prior authorizations as needed. Ensures that referral and pre-authorization activities are undertaken in order to provide maximum patient and provider satisfaction and maximum reimbursement.

14. If required by department, Notes patient EPIC account with each interaction before moving to next interaction. Uses the appropriate Intake or encounter smartphrase to clearly relay the interaction to the next healthcare member.

Supply Coordination:

1.                  Coordinates the flow of supplies and equipment for Perioperative and Procedural Services.  Processes supply requisitions for Nursing staff and Team Leaders of the various major surgery and procedural units.  Monitors supply levels; proactively replenishes as needed. 

A.                 Expedites supply requests based on level of urgency and/or scheduled date/time of surgery.

B.                 Maintains records incident to periodic inventories, and receipt and issuance of supplies.

C.                Makes decisions to reorder or to discontinue OR or Procedural stock items, with final approval of supervisor.

D.                Distributes supplies as needed.

2.                  Enters requisitions in Materials Management Computer System and uses appropriate requisitioning procedures to ensure timely arrival of supplies.  Maintains requisitioning records for the Department.  Completes all work in compliance with the Authority to Commit resources matrix for the Department. Notifies supervisor and the contracts department of expired supplies and equipment.

3.                  Facilitates the approved Clinical Quality Value Analysis process for new product introduction and the introduction of new equipment (capital and minor equipment) for the department of Perioperative and Procedural Service leadership, clinical champions, suppliers and the Corporate CQVA Department. 

A.                 Recommends changing vendors and/or products when nursing staff or physicians point out significant concerns.

B.                 Prepares financial analysis of proposed product introductions and / or conversions under the direction of management.

C.                Ensures compliance with contracting policies and procedures. Facilities submission and review of contracts with Corporate Contracts, the Office of General Counsel and / or the local legal office who negotiate on the Department’s behalf.  Review questions regarding contracts from those departments and makes recommendations to Periop and Procedural management as appropriate.  Facilitates new vendor onboarding and required security reviews per policy.

4.                  Develops storage methods, including the allocation and arrangement of storage facilities.

5.                  Arranges for maintenance/repair on Periop and Procedural equipment; coordinates efforts with Biomedical Engineering and/or outside groups to resolve repair issues or check newly acquired equipment for adherence to electrical system specifications; and maintains contracts on equipment.

6.                  Works with Accounts Payable and Purchasing to resolve billing errors regarding O.R./Procedural purchases.

 

Qualifications

Education and Experience:

  • High School diploma or equivalent (GED) is required.
  • Two years of prior administrative and business operations experience required including at least one of the following: a) Experience with automated scheduling systems or clinical information systems including medical terminology; b) Experience with inventory control, coordinating the supply of materials, and exposure to basic purchasing processes and procedures, six months of which must have been in a hospital or health care setting; c) general clerical and / or administrative experience. Previous O.R. experience preferred.
  • Experience in a business, professional office or health care environment is required.
