Under general supervision provides secretarial support to the Vascular Surgery department located at the University of Maryland Medical Center Midtown Campus.
Answers phones in a timely and courteous manner. Screens calls and distribute to correct individual or department. Document telephone encounters with patients in EPIC precisely.
Schedule patient appointments and enters data appropriately, accurately, and efficiently in the computer system. Verifies patient’s coverage eligibility and insurance coverages through RTE.
Schedules pre and post inpatient and outpatient surgical procedures for Vascular Surgery with coordinating departments.
Ensure documentation of complete and accurate patient packet information for each surgical patient and surgical posting.
Explain payment policies and insurance requirements prior to rendering of services.
Make appointment reminder calls and follow up calls to patients who missed appointments. Make coordinating and other physician requested appointments for patients.
Create new and maintain existing medical records appropriately; completes filing as appropriate and EOD status on all medical records prior to the end of the shift. File all lab and other reports as required.
Review all insurances and accurately enters patient demographic and coverage information in the computer for billing purposes.
Obtain necessary and required authorizations, referrals and medical records prior to patients scheduled appointments and/or surgery.
Sorts, date stamps, and distributes mail and process forms. Type correspondence accurately and efficiently proofreads for correctness.
Faxes records and other pertinent information as requested.
Prepares statistical reports for vascular lab and charge capture as needed.
Manage patient’s registration work queues for accurate and timely billing processes.
Complies with all personnel, administrative and department policies and procedures. Demonstrates support and compliance with University of Maryland Medical Center Midtown Campus’s mission, vision, RITE touch values, philosophy, goals objectives and policies.
Cancels surgical cases ad needed and enters cancelation information promptly into vascular surgeon’s surgical calendar.
Assist patients with preliminary pre-surgery testing and other requirements.
Send correspondence for surgical procedures and pre-testing information to patients and patient’s PCP in a timely fashion.
Ensures all pre-surgery documentation and information is forwarded to the correct departments for timely processing of pre-operative and perioperative and scheduled surgical procedures.
Monitors patient is vascular lab before and after scans and report to proper clinical staff as needed.
Performs other duties as assigned.
High School Diploma or equivalent (GED) is required.
Experience with ICD- 10 and CPT coding and medical terminology.
Two years of medical secretary experience required.
Experience in EMR systems.
Experience with computers and various software.
