What You Will Do:

General Summary

The Health Information Management Specialist ensures availability and accessibility of the patient health record. Performs prepping, scanning, indexing and quality checks of the paper record into the HIM scanning and archiving system, according to departmental policies and procedures. The job duties include, but are not limited to:

ELECTRONIC DOCUMENT MANAGEMENT SYSTEM: Prepares the paper medical record for electronic scanning and indexing; performs quality checks on images for clarity, positioning, redundancy, and misfiles. Retrieves electronic files in Epic and maintains existing paper records and microfilm; responsible for the destruction of the paper records/light charts once scanned. Ensures the filing of paper records and the purging process of paper files is up to date. Process requests to merge duplicate electronic patient files from registration and units upon extensive research.

FRONT DESK: Greets and assist medical staff and employees. Answers telephone inquiries from internal and external customers. Communicates courteously and effectively with the general public, physicians, physicians’ office staff, and all levels of hospital personnel. Verifies written authorizations and identification for the release of information, sends electronic protected health information to the correct requestor and/or facilities, clearing any HIPAA-related questions with manager prior to transmittal of Personal Health Information (PHI). Prints and/or copies records when necessary. Coordinates the retrieval of records on microfilm.

BIRTH/DEATH REGISTRATION: Responsible for the accurate and timely processing of electronic birth and inpatient death certificates, according to hospital and state policy, into Vital Records System (EVRS) and scanning into the Document Management System. 



What You Need to Be Successful:

Education

  • High School Diploma or GED required. 
  • 2 year / Associate's Degree is preferred.

Experience and Skills

  • 1 year of medical records experience in a hospital setting is preferred. 
  • Basic computer knowledge of Excel, MS Word, and Microsoft Outlook is required. 
  • Verbal and written communication skills preferred. 
  • Excellent interpersonal skills and organizational skills preferred.
