Main Function: Under general supervision of the Program Manager, coordinates the scheduling of all outpatients for the Outpatient Behavioral Health Center. Obtains pre-authorizations and concurrent authorizations for outpatients from insurance companies. Duties and Responsibilities: 1. Coordinates scheduling for all outpatient clinical services. 1.1 Logs in all referrals to the Outpatient Behavioral Health Center (OBHC) and trends all no show or canceled patients. 1.2 Follows up with referral source or case manager with any problems, concerns or issues regarding the referral of a patient. 1.3 Re-arranges/changes therapists scheduled for coverage when needed. 1.4 Prepares outpatient schedules and distributes them to all therapists. 1.5 Calls patients who did not show up for therapy and all new patients on the day before they are scheduled for their appointment. 2. Facilitates department communication. 2.1 Acts as the point of contact for all outpatients to their therapist. 2.2 Receptionist for all outpatients coming into therapy at OBHC. 3. Coordinates the insurance authorization process for all outpatients. 3.1 Initiates pre-authorization for each outpatient in the department from insurance companies. 3.2 Obtains concurrent authorizations from insurance companies. 3.3 Follows up on all managed care visits to assure that OBHC does not exceed required numbers given and obtains permission for more visits when needed. 4. Generate statistics, reports and patient information for the OBHC. 4.1 Schedules in Meditech, all outpatients (obtains demographic, insurance, diagnostic and physician information) so that the patient can be served more quickly at MGH. 4.2 Enters re-visits for all recurring patients which allows the therapist to charge their patients and also keeps a record of when each patient came to OBHC for therapy. 4.3 Utilizes Meditech to obtain a list of names and addresses of patients who need to be sent the outpatient satisfaction questionnaire. 4.4 Keeps census information current and uses that information for other reports. 4.5 Responsible for printing face sheets, when needed, on outpatients which keep therapy records up to date. 5. Performs general clerical tasks. 5.1 Stamp and assemble each patient’s chart in the outpatient department. 5.2 Audits all outpatient charts for completeness and follows up with appropriate therapist or physician to obtain any missing information before sending it to medical records. 5.3 Completes all patient accounting requests for information in a timely manner. 5.4 Facilitates the outpatient satisfaction questionnaire process and participates in the tallying and reporting of the data. 5.5 Maintains supplies for department operations. 6. Maintains a safe, clean, recuperative environment. 7. Communicates effectively with other health care providers. 8. Maintains competency and yearly educational requirements for position. 9. Adheres to all procedures related to infection control principles. 10. Attends and actively participates in meetings as required. 11. Demonstrates support and compliance with Maryland General Hospital’s mission, vision, values, philosophy, goals, objectives and policies. 12. Performs additional functions and other activities assigned.
What You Need to Be Successful:
Education: High School diploma or GED; secretarial courses desired. Experience: Two-three years clerical office experience in a health care setting preferred. Knowledge/experience with word processing essential. Knowledge/experience with insurance agencies or managed care companies preferred
