What You Will Do:

Under minimal supervision of the UM CMG CEO, the UM CMG Administrative Advocate is responsible for investigating and resolving complex and sensitive service-related issues involving UM CMG Physicians, Administration and UMMS Shared Services (these issues can range from Accounts Payable, Payroll, Human Resources, Marketing or Billing concerns that have not been successfully resolved with the appropriate process). Ensures responsiveness to UM CMG administrative and physician needs; provides recommendations for improvements in customer service systems, relations and administration; developing proposals and implementing programs and services targeted to specific CMG needs; and serves as a liaison to develop and maintain relations with CMG and UMMS Shared Services.

Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. These are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

  1. Investigates and analyzes complex service-related issues involving Administration and UMMS Shared Services.
  2. Serves as ombudsman and resolves high-profile issues on behalf of UM CMG’s Physicians and Ad-ministration.
  3. Mediates among internal customers to assist them in reaching their own reconciliation, settlement or compromise.
  4. Functions as intermediary to research, intervene or otherwise assist internal parties in reaching a reso-lution.
  5. Advocates Physician and Administration viewpoints to UMMS Shared Services on decisions directly affecting service-related concerns.
  6. Examines causes of internal issues and initiates corrective action with administration to improve customer relations.
  7. Analyzes and recommends improvements in internal administration policies, systems, programs and services.
  8. Performs other duties and responsibilities as assigned.


Qualifications

  1. Detail-oriented with a high degree of accuracy and organizational ability

  4. Highly proficient in Microsoft Word & Excel
  5. Ability to work autonomously, and appropriately prioritize tasks and provide detailed documentation/ follow ups (time management)

  8. Must be self-motivated and comfortable working with deadlines
  9. Must be an effective communicator and flexible with constantly changing priorities
  10. Outstanding customer service skills

What You Need to Be Successful:

Bachelor’s degree required. Prior experience in a large organization required.

3 years customer service experience required.

Experience that includes direct interaction with physicians preferred.

Administrative experience is preferred.

Knowledge, Skills and Abilities

Highly effective verbal, written and interpersonal communication skills to communicate effectively with all levels UMCMG leadership.

Strong interpersonal skills required with ability to interact with senior executives and physicians.

Strong organizational and project management skills required.

Basic computer skills and experience with office software system required.

Prior experience with an Applicant Tracking System is preferred.

Ability to work independently and be trusted to complete tasks with minimal supervision

Excellent time management and organizational skills.

Team player mentality; ability to collaborate with others.

Must be able to work with a keen sense of urgency.

Adherence to the highest degree of professional standards and strict confidentiality in matters that require discretion.

Ability to work on and close multiple assignments concurrently and in a timely manner.
