What You Will Do:

General Summary

Under general supervision, the Practice Assistant will be responsible for a variety of functions as they relate to patient registration, scheduling appointments, referrals, patient care and medical records.  Percentage of time in each function will vary according to the patient caseload for the practice.


Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work performed by people assigned to this classification.  They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.


           Registration Function:

  1. Greets patients courteously and promptly.  Ensures all patients are registered in EPIC and that all demographic information is updated. 

  2. Verify patient insurance information and update in EPIC system.   Collect co-pay as appropriate for the scheduled visit.  Ensures all patients paperwork is correct and put in the patients chart for the physicians.

  3. Reminds patients of upcoming appointments, changes to schedules, co-payments required, and pertinent insurance information. Maintains a less than 10% error rate on their registration Reconcile charges on a daily basis.

    Scheduling Appointments Function:

  1. When in the phone room, schedule all appointments as prescribed on the scheduling grid provided.

  2. When messages are necessary, make sure they are complete and concise; e.g., Patient complains of foot pain, include which foot, sharp or dull, how long has had the pain.

    Referral Function:            

  1. Will Perform all data entry, ICD-9 CM coding of outpatient referrals.  Review all outpatient referrals for benefit coverage, eligibility and appropriate providers for various managed care contracts in timely and efficient manner.

  2. Serve as a contract resource for Center providers and staff. Attend meetings and managed care     training sessions as necessary to support managed care contracts

  3. Answer telephone referral requests and coordinate authorization process with payers and providers.

  4. Maintain insurance carrier website to meet the needs of patients and staff.

    Clinical Functions:

  1. Gathers and documents patient reported reason for visit/chief complaint in the EMR.  Follows established guidelines to obtain necessary testing based on the chief complaint before  the exam. Prepares patient for examination by the health care provider. Functions within clinical scope of practice depending upon level of certification.

  2. Performs routine office testing including; urinalysis, vision testing, hearing screening, pulmonary function testing, temperature, pulse and blood pressure, finger sticks according to scope of practice.   Obtains necessary blood and urine specimens as ordered by provider.

  3. Assists provider with procedures and minor surgical procedures.   Administers and documents injections and other medications given.  Sterilizes all reusable instruments and equipment as needed.

  4. Assists provider with clarification of patient instruction such as diagnostic test preparation, and medication administration.    

  5. Maintains necessary supplies in clinical area.

  6. Assists with room turnover, stocking, running of errands and patient transport as indicated. 

    Medical Records Function:

  1. Assembles reports/documents in pre-established filing order preparing them for filing according to specific hospital guidelines.  Files individual patient reports into appropriate medical records.

  2. Files medical records in the established order, generally terminal digit, in the appropriate file locations.

  3. Handles, and refers as appropriate, telephone calls and walk-in requestors, e.g. visitors, patients and physicians requesting medical record information, and correspondence information.

What You Need to Be Successful:

Education and Experience

  1. High School Diploma or equivalent (GED). 

  2. Completion of an accredited Medical Assistant program.  Additional course work in medical terminology, data entry, and ICD-9 CM coding preferred.

  3. One years experience in a managed care environment with an additional one years experience in a physician practice preferred.

  4. CPR certification is required.

 Knowledge, Skills, and Abilities

  1. Must be willing to rotate between all functions for coverage as determined by manager.,

  2. Demonstrated skill in venipuncture. Knowledge of aseptic and sterile techniques. Knowledge of blood and body fluid precautions. 

  3. Knowledge of data entry is required.  Knowledge of applicable PC software is preferred; ability to learn required.   

  4. Knowledge of terminal digital filing, telephone etiquette and organization skills for tracking medical records and maintaining a fast-paced work environment.

  5. Effective oral and written communication skills are necessary to work with practice staff in a courteous and effective manner when responding to requests.

  6. Knowledge and ability to follows UMMS and departmental policies and procedures, as well as relevant medical records regulations, with particular respect to medical records and release of patient information.
